Our May Service Unit Meeting is our "Events" Meeting, where we discuss upcoming plans for the next scout year.  In anticipation of this meeting, please submit your suggestions for 2017-2018 events.

GSEP Community Events

GSEP has some exciting opportunities for Girl Scouts of all levels!

·        FREE girls-only yoga class at Athleta in the Promenade on Sunday, March 12 at 6 pm.  PLUS, GSEP members can take advantage of the rare Athleta Friends & Family Discount on March 12 as well!  10% of the sales that day will be donated back to GSEP.  (please see attached fliers)

·        GSEP Day at the Bethlehem Steel Football Club is Saturday, April 29 at Lehigh’s Goodman Stadium.  The soccer team is offering lots of activities for our girls, including a pre-game soccer clinic, half-time soccer scrimmage, and post-game penalty kicks.  Plus, there is a brand new Girl Scout-Bethlehem Steel patch being offered this year!  Tickets are only $15; please see attached flier for more details.

·        To celebrate the Iron Pigs’ 10th anniversary, sleep under the stars ON THE FIELD at GSEP Night @ the Iron Pigs on Friday, July 14.  Please see the attached flier for more details.

Event Cancelled: Father-Daughter Dance

Unfortunately, the minimum attendance needed for the annual Father-Daughter Dance was not met and this event has been canceled.  The hosting troop will refund in-advance payments at the April SU Meeting.  Thank you for your support, and we hope to have this event next spring.

GSEP's CEI Email

Dear Troop Leaders and Service Unit Managers:

As part of our council's lead-up to Customer Engagement Initiative (CEI), we are in the process of updating all troop information in our system. Over the coming weeks, we will be asking for your help in updating your troop and girl records to ensure that all of your data will transfer to the new Volunteer System. To help us get there, we are offering expanded troop data access for all leaders.
 
In the new system, each troop will have two identical Troop Leader/Co-Leader positions. The new Volunteer System is not able to differentiate between 01 and 02 volunteers, so all current 01 and 02 positions must be merged.
 
As of this week, all 02s with an Active status now have online access to the troop tab. This means that any active leader can now:   
  • Register girls in your troop for programs
  • Update troop info
  • Update girl info
  • Request troop transfers
Important Note:
Volunteers (01 or 02) who have not submitted CBC paperwork or have pending status cannot access troop information. If you currently have an In Process
status it is critical that you complete submission of your CBC documentation immediately in order for your volunteer position to transfer to the new system.
 
Your help is needed!
 
We are already hard at work preparing our data for the new Volunteer System, and we need your assistance. Please take a minute to log-in to the Online Registration System to review the following:
  • All active girls must have a Guardian 1. Girls without a Guardian 1 will have no household assignment in the new system.
  • All parents, members, and volunteers in our system need an active email address (it can be the same one for all family members).
  • All active troops must have a meeting location and address including a zip code.  We also need you to complete your troop grade level, meeting times, etc.
  • Other information, such as girl grade, date of birth, address, and phone numbers, should be accurate and up to date.
If you see that information is wrong and you are unable to update it yourself online (such as spelling of names), please email corrected information to memberservices@gsep.org by April 7.

End of Cookie Season Information

Cookie sale ends March 12 but if you have cookies left you may sell until you clean out your inventory. GSEP has not set a date by which all data must be added into SNAP. (Assumption is around mid-March)

Operation Cookies From Home (Read Page 5 of the cookie Manual.)
  1. Any girl who gets an order for OCFH on her order form or on line, gets credit for the packages.
  2. Donations collected at a cookie booths are usually deal with one of two ways: the packages are evenly divided among all the girls selling at that booth - OR - all money collected from all booths are put into a “pot” and divided among all the girls in the troop. These boxes can also be used to bump girls up to the next incentive level.
  3. There are two ways to full the troop’s OCFH order.  If the troop has enough leftover packages to fill their need, the packages are taken down to Valley Forge on March 25.  If the troop does not have sufficient packages, it does a virtual transaction.  The cookies will be transferred into the troop but no cookies will be physically picked up.
  4. ALL COOKIES USED FOR OCFH MUST BE TRANSFERRED DOWN TO THE GIRLS.
  5. Please do not place a virtual order until you are sure that no troop has cookies left over. By transferring cookies into your troop, you will be helping a troop to not lose part of their profit paying for un-sold cookies.
Transferring cookies down to the girls.
  1. In SNAP go to Transfer orders;Troop to girl; from your troop ;to your troop ;select girl.
  2. Using the girl’s G-1 form enter the total boxes sold by variety. You do not have to put any number in the booth box. If you do, it will be added to the total already entered.
  3. DO NOT HIT ENTER MORE THEN ONCE OR IT WILL PRODUCE A DUBLICATE ORDER.  If that happens let Alice know and she will fix it.
  4. Note that on the screen where you choose the girl’s name the “quantity available” must go down to zero. That means all packages, sold and un-sold, must be transferred down to the girls.
Creating a recognition order
Please read page 10 of the cookie manual. The recognition order can be made only after cookies are transferred down to the girls. Changes to both the transferring down to the girls and the recognition order may be made until the end of the sale.

Delinquency Issues
Read page 8 in cookie manual. When a family is not keeping up with the cookie payments good record keeping is very important. Keep copies of all emails, dates of all phone calls and any face-to- face conversations.

Finishing out the sale -- -- -- paper work
After the third sweep (March 23) is posted in SNAP you will have to give me two SIGNED copies of each the Recognition Summary by Troop and Troop Balance Summary showing a zero balance. If a reconciliation sweep is needed, hold your paper work until the Troop Balance Summary shows a zero balance. Please read the top of page 8 (banking) for information about the reconciliation sweep and requesting an extension for the third sweep.

What to save after the sale is over
The G1 forms, the receipt books and one copy of each T-8 should be kept until the end of 2017.
