Mardis Gras Parade 2016 (Last Reminder)

Come out and join us for the 65th Annual Lansdale Mardi Gras Parade!!

Saturday, November 21st!!

The Parade begins at 1:00.   However, they recommend you be at the line up location NO LATER than NOON, especially if you plan to have a float!!   With the roads closed off for the parade, it can get difficult to get over to line up locations!!

This year’s theme is “Holidays on the Beach”.

Each troop must respond NO LATER than October 25th with the following information:

·         Do you plan to have a float or if your troop will just be walking.  (If a float is being used, I need to know the length of the float!!)

·         The number of REGISTERED girls, along with REGISTERED leaders and Parents.

·         Will you be decorating to the theme or just walking in your uniform

*Please only allow registered girls/leaders/parents to walk.   Remind the other parents/siblings that we need them on the sidelines cheering the girls on and taking photos!!

The past few years we have been towards the very beginning of the parade.  I am hoping for the same line up, giving the girls that walk a chance to watch the rest of the parade and see Santa arrive at the end!!

REMINDERS:

·         There are NO bathrooms close by!  Please make sure parents have girls use facilities before leaving the house!!

·         Girls should dress for the weather!!   The parade lasts over 2 hours!! With the waiting time, it is close to 3 hours they will be outside!!   Gloves, hats, good walking shoes, etc.   Water bottles are a good idea, but keep in mind the above statement!

·         Please keep in mind that if you are handing out candy, you must HAND it to the kids on the sidelines.  YOU CAN NOT THROW CANDY FROM FLOATS FOR SAFETY REASONS!!!!

There is NO FEE for this event.  The parade committee does sell pins for $1 each.   If your troop is interested in pre-ordering pins, please let me know how many you would need, so they can have them ready for us.   You can also buy them from the parade organizers while waiting. (If you want a lot, pre-order!)  Make all checks out to Troop 77132, and I will send one payment into the parade committee.

The past few years we have had a group of over 100 girls!!!

Electronic Forms

Make sure you have Health Forms for all your girls, even if they are staying in place from last year with no changes.  If you are meeting outside your normal place/time, you also need a Permission Slip (in addition to a Day Trip form, see below).  If you will be discussing anything listed on the Sensitive Issues Form (like religion, global citizenship, safety, etc), you need a form.  (I suggest doing one that covers the year and checking off multiple boxes, with the date range of Oct 1, 2015-Sept 30, 2016 as a way to fully cover yourself if you are discussing any sort of possible sensitive issue.  I keep my forms with my Health Forms.)  Parents can fill out a Financial Aid form if they need help with Registration (which must be done via paper if submitting FA) or Dues.  *Adults can also do FA requests for their Registrations.   (Mail FA with Reg to: Girl Scouts of Eastern PA, Attn: Financial Aid Request, 2633 Moravian Avenue, Allentown, PA 18103)

Day Trips (all  day trips, regardless of distance from meeting place)
Overnights (1-2 nights or 3 nights w/ holiday)
Extended Trips (these get submitted to trips@gsep.org and DO NOT get submitted to me for approval.  You may cc me on the email so that I have you in our records, but your approval will come from Council, not me.)  Along the lines of an Extended Trip, this is the Parent Permission Form for an Extended Trip.

Did someone get hurt on your event or trip?  Fill out the Claims Form and submit ASAP.

Do you need to know if someone has a COI on file?  This is the current list of on file COIs.  If you need to submit a request, use the COI request form.

Is your event High Risk?  If so, you need a High Risk Form.  (I'm sorry to report that it seems trampolines are still a no-no.)

Are parents driving?  Are you driving Girl Scouts anywhere?  Make sure your drivers are background cleared, registered as adult GS, and that you have the Driver Form on file.

Are you allowing non GS participants at your activity or event?  This includes non-Scout children.  If so, then you need to pay for Plan 2 insurance.  (Forms that include non-registered Scouts will not be approved without Plan 2.)  If you need other insurance, this link lists the different types available.

Preparing for the Leader Meeting

Notes from Monica:

Leader Meeting

Our first leader meeting will be this Thursday, Sept. 3rd at 7pm.  We will be meeting at Trinity Lutheran Church in Lansdale in the Social Hall.  Park on the side of the building closest to Acme and enter through the double doors.  We will be the first door on your right, just beyond the stairwell.  The first meeting always takes a little longer, but I will do my best to have you out in 90 minutes at the most.

We will be explaining and handing out the fall fundraiser, covering some recruitment info, some information about forms & procedures and so on.

Leader Agreement

and then bring it with you, I would appreciate it.  I need a copy from every leader, co-leader, and assistant.  Please only give me the second page.  Save yourself a printed sheet!  You can also scan and email it to me if that works :)

Training

Here is a link to the newest council list of training.  Please keep in mind every leader, co, and asst. needs to have the GS101, Step 2 and Step 3 as a minimum.  https://drive.google.com/file/d/0B_P3CIjApPHlQ0FjQ3dBd2c0TXpqbXBRRDJnR2FLQ2NNRWEw/view

Background Clearance Compliance

Council has put together this handy document for the new compliance regulations as required by the State of PA for volunteers. CBC Packet

If you already have the required clearances done, you must send them to volunteer@gsep.org.  Please note it's VOLUNTEER and not volunteer(s).

Please remember that as you get these clearances done, you should be keeping your original copies and sending only copies.

As outlined in the packet, all new volunteers as of July 2015 must get these clearances before working with girls.  Volunteers who had clearances on file with GSEP prior to July 2015 have until next.

Events Form

Here is the Google Docs link to the updated Event form.
https://drive.google.com/file/d/0B-TnwAOhWUMwSFBsOUlGdk83UFE/view?usp=sharing

You will use this form to plan any Troop or Service Unit event.   You can email it to Michele if you have any questions during your planning and/or at the end of your event.  Please remember that Troop fundraisers require that your Troop participate in NAR and Cookie sales.  You keep the losses/gains from any Troop event; the Service Unit bears the costs and keeps the gains from any Service Unit fundraiser.

Back To School Nights - Volunteers Needed!!!

We are looking for girls to go to Elementary Schools in the district to do some recruitment at Back to School Nights.  Ideally it would be an Elementary School they are familiar with, but it doesn't have to be.  The students at the recruitment table must be in 8th grade or above, and should not be alone.  They can be with another girl volunteer or their own parent (or their leader).  Again, ideally we are looking to have two girl scouts at a table, able to answer general questions and take sign up information from parents at that Elementary school.   If there are adults standing at the table with the student volunteers, those adults must have all their updated clearances on file with the district

Committing to attend a back to School Night means you(they) must also attend a briefing meeting to get general information, sign up sheets, and any GSEP give aways or "swag"to hand out.  The two dates we will hold briefing meetings are from 5:30-6:30 on August 30th or September 6th at Trinity Lutheran church in Lansdale.  You(they) will not need to stay the whole time, it will be just to check in, answer any questions, take all papers and other things needed.  Please indicate which briefing meeting you(they) will attend in the notes field.

Below are the list of school that confirmed we are allowed to have a table at their Back To School Night.  If an Elementary School is not listed it is because they did not respond or confirm our attendance.
If you have any questions, please contact Heather.
